Planning a conference, convention, or corporate event in Denver? Here’s everything you need to know about working with From the Hip Photo — from pricing and logistics to what you’ll actually receive when the event wraps.

How much does conference photography cost?

Our pricing is based on the scope of coverage your event needs. Half-day coverage (up to 4 hours) starts at $2,000, full-day coverage (up to 8 hours) starts at $3,800, and multi-day conferences are custom-quoted based on your schedule and coverage goals. Pricing depends upon the number of days, photographers, and add-on services like headshot stations or video B-roll. Every quote includes retouching, digital delivery, and royalty-free usage rights — no surprise fees.

What’s included in the price?

Everything. Our all-inclusive pricing covers pre-event coordination, on-site coverage by one of our full-time lead photographers, expert retouching on your full gallery (50+ images per hour of coverage), high-resolution digital delivery via our online gallery within two weeks, and royalty-free usage rights — forever. The only thing not included is day-of parking if the venue doesn’t provide it.

How far in advance should we book?

About 30 days out is the sweet spot — enough runway to align on scope, coverage schedule, and any custom requests. That said, our five-person full-time team gives us real flexibility on short-notice requests: we regularly accommodate bookings with just a few days’ notice because we staff coverage in-house rather than scrambling for freelancers. If your event is next week, call us.

Can you handle multi-day, multi-track conferences?

Absolutely — this is one of our specialties. With a full-time team of five photographers, we can staff simultaneous coverage across breakout sessions, keynotes, exhibit halls, and social events without relying on subcontractors. We’ve covered multi-day conferences at the Colorado Convention Center, Gaylord Rockies, and venues across the Front Range with up to four days of continuous coverage. We build a custom coverage schedule around your event agenda so nothing gets missed.

Do you offer headshot stations at conferences?

Yes — and we’ve taken it further than anyone else in the market. Our headshot activation stations feature portable professional lighting setups staffed by a dedicated photographer, and we can deliver retouched headshots to attendees the same day.

Our proprietary virtual queue system that eliminates long physical lines at headshot stations. Attendees join by scanning a QR code or visiting a URL, receive real-time updates as their turn approaches, and then get their finished headshot delivered via text or email. Behind the scenes, the queue, capture stations, and delivery workflow stay synchronized so we can move high volumes efficiently, prioritize VIPs when needed, and provide organizers with clean reporting and lead/opt-in data. The whole experience is fully branded to look like it was built specifically for your event.

What does same-day delivery look like?

For headshot stations, we can set up editing time on-site throughout the day. Attendees receive two retouched headshot images delivered digitally — typically within hours of sitting. For general event photography, we can provide same-day or next-day selects (a curated set of highlights) via Dropbox or a shared link, with the full retouched gallery following within two weeks.

Do we own the photos?

You receive full royalty-free usage rights to every image we deliver — forever. Use them on your website, in marketing materials, social media, sponsor deliverables, annual reports, wherever you need them. No licensing fees, no usage restrictions, no expiration dates. It’s all included in your quote.

Can you capture video too?

Yes. We offer B-roll video as an add-on to any photography package, starting at $1,500. This is horizontal or vertical video captured throughout the day by your photographer to give you a general sense of the energy and vibe of the event — not a separate videographer. We also offer edited recap videos at $500 per 30 seconds, color-corrected with music.

What happens after the event?

Within two weeks of your event, we deliver your full gallery of retouched, high-resolution images via our online platform. You’ll receive a private link to view, download, and share. If you need expedited delivery, we can provide same-day or next-day selects for an additional fee. After delivery, your images are archived and available for re-download for at least 12 months.
